Integration Checklist

Steps that Dryad must complete for a journal to be integrated:

Discussion phase (from initial contact --> journal decision to integrate)

  1. initial documentation
    • send basic info (wiki documentation, Integration Overview slides)
    • alert mgt and tech
    • add journal to Salesforce and Trello (formerly Partner spreadsheet)
    • determine strategy; what issues are there, who can approve moving ahead etc.
    • arrange conference call, ask them to look at/fill out PIQ, to walk through integration implementation steps and answer questions
  2. get-to-know-you phone conversation
    • answer questions from journal about workflows, optional customizations, etc.
    • get journal timeline for testing and rollout
    • obtain/confirm PIQ

Implementation phase (from PIQ --> successful completed test)

  1. make sure we have completed PIQ
  2. configure dev system for test messages
  3. set up basic configuration based on PIQ
    • Implement any specialized processing needed by the journal
    • send a test email with journal code and check to see it is populated in dev. If yes, proceed.
    • Notify liaison/Journal that we’re ready to begin testing and point them to http://wiki.datadryad.org/Journal_Metadata
    • make sure we have journal cover image
  4. complete testing phase
    • documentation & troubleshooting during testing, journal configuration
    • oversee test of metadata messages, feedback to journal, until all problems are resolved
  5. turn on/finalize integration
    • Move the initial configuration (and specialized processing) to production (or turn it on)
    • Add journal to "look up your journal" list on website (this and the above should happen in the same pull request; ideally include the below as well, but can delay slightly)
    • ensure cover image is added to Dryad, both on the data package pages and in the "recently integrated" box on the homepage
  6. notify curation team / staff listserv
  7. add journal to wiki list of completed journals (above)

Completion phase (after completed test --> rollout and ongoing maintenance)

  1. Concluding email with journal contact
    • tell journal they are officially integrated and we now expect to receive notices from them, they should invite authors to submit
    • check on policy for data references & updated journal instructions (http://wiki.datadryad.org/Journal_instructions )
    • tell journal about weekly curator reports; confirm recipients and add to Trello any updates since the PIQ was completed
    • ask journal to inform us of any forthcoming changes to their manuscript system that will affect integration
    • invite journal representative to subscribe to the Announce and/or Users mailing lists
    • suggest journal use help@datadryad.org address for all urgent questions
    • offer statistics
    • explain Dryad membership, pricing plans, offer more information if not already done
    • ask permission to promote if applicable
  2. Follow-up
    • PR: tweet &/or blog post
    • schedule 2-month checkin, then maintain at least annual contact to confirm that notices conform to specifications, discuss journal options, update contact information, solicit feedback, and encourage participation in the Dryad organization
